All Your Hostaway Listings in One Calendar (iCal Export Guide)
Updated
Hostaway keeps each listing in sync with Airbnb, Booking.com and Vrbo. What it does not give you is one calendar of your own with every property in it. The Hostaway iCal export is per listing, so three chalets mean three feeds, and your phone, your co-host and your cleaner each end up subscribing to all of them. This guide merges the exports into one calendar for all your Hostaway listings, with the property name on every booking, that you subscribe to once and share with one link.
Why a channel manager still leaves this gap
A channel manager's job is to keep the booking sites agreeing with each other, listing by listing. The owner's view is a different thing: who is arriving this weekend across every unit, which nights the building is empty, when the cleaner has two turnovers on one day. Hostaway's dashboard shows a multi-calendar when you are logged in. Nobody else is, and you are not at your desk on changeover day. A merged calendar puts the same answer in the calendar app you already open. If you run a channel manager because you outgrew iCal-only syncing, the booking-channel guide explains that background.
Step 1: Copy the iCal export link for each listing
In Hostaway, open Listings, open a listing, and use its iCal option. Hostaway lets you exclude parts of the export you do not want to share; for your own calendar leave everything on. Copy the link. It starts with https://ical.hostaway.com/ical/ and ends in /listings/<id>.ics, one id per listing. The same export link appears under Channel Manager when you configure an iCal channel, which is the place to look if your account shows an older layout. Repeat for each property.
The link carries a long account key, so anyone holding it can read that listing's bookings. Treat it like a password.
Step 2: Add each listing as a source
Create a calendar in iCal Merge and paste each export link in as a source. Name the source after the property, because that name becomes the prefix on every booking: "Chalet A: Reserved," "Studio: Owner block." Give each one a color and the month reads at a glance. There is no list of supported channel managers. If it hands you an .ics link, it works, so the same steps cover Guesty, Lodgify, Smoobu and a listing you still run outside Hostaway.
Add Calendar Source
| Source Name | Calendar Title | Actions |
|---|---|---|
| Chalet A | Hostaway · Chalet A | |
| Chalet B | Hostaway · Chalet B | |
| Studio | Hostaway · Studio |
Step 3: Subscribe once, share one link
The calendar page has buttons for Google Calendar, Apple Calendar and Outlook, plus the link to copy. Subscribe, do not import: an import is a one-time copy, a subscription keeps pulling changes. iCal Merge rereads the Hostaway exports hourly (as often as every 5 minutes on Pro), and the calendar page shows when Google or Apple last checked, so you know how fresh the view on your phone is. Give the same link to a co-host or a cleaner and they see every arrival and departure across the units without a Hostaway login.
One calendar per building, or one for everything
Hosts with several units usually want both. One calendar with every listing is the planning view. A second calendar with only the two apartments in the same building is what the cleaner for that building subscribes to. Each calendar reads the same Hostaway exports, and a listing can sit in as many calendars as you like. The free plan gives you one calendar with three listings; more than that is Pro.
What to share, and what to keep out
Turn on clean feed and the merged calendar drops attendees, organizers and alarms before anyone else sees it. If a cleaner only needs to know when a unit is occupied, set their sources to busy only (Pro) with a label like "Occupied": the dates stay, the details go. Pro adds buffer days, which show a block before and after each stay so a same-day turnover is visible as the squeeze it is, and double-booking alerts, an email when two bookings overlap in the same unit.
Do not feed it back into Hostaway
The merged calendar is for people. It contains each listing's own bookings, so importing it into Hostaway as an iCal channel would return those bookings as blocks and can leave a night blocked after a cancellation. Hostaway keeps syncing the booking sites; iCal Merge only reads. If a channel ever needs the other channels' bookings, that is what the per-channel feeds in the double-booking guide are for, and with a channel manager in place you rarely need them.
Frequently asked questions
Where is the iCal export link in Hostaway?
Open Listings, open the listing, and use its iCal option to copy the export link. Hostaway shows the same per-listing export link when you configure an iCal channel under Channel Manager. Each listing has its own link, ending in /listings/<id>.ics.
Does Hostaway already do this?
Hostaway syncs each listing with its booking channels. It does not give you one calendar across all your listings for your own phone, your co-host or your cleaner. That is the gap this guide fills, by reading the per-listing exports Hostaway already provides.
Should I import the merged calendar back into Hostaway?
No. The merged calendar contains each listing’s own bookings, so importing it into Hostaway would feed those bookings back as blocks. Keep the merged link for your own calendar apps and for people you share it with. Hostaway keeps syncing the channels.
What does the Hostaway export contain?
Reservations and blocks with check-in and check-out dates. Depending on the export options you leave on, it can also carry the guest count and the channel. Clean feed in iCal Merge strips attendees, organizers and alarms from the merged calendar if you share it.
Is it free?
One calendar with up to three listings is free. Pro is $5 a month or $50 a year for up to 10 calendars and 100 sources each, buffer days between guests, double-booking alerts and a refresh as fast as every 5 minutes.
Three listings free. A few minutes to set up.
